Hire A Quick Books Virtual Assistant

QuickBooks Virtual Assistant: Skills, Costs and How to Hire

Your bank feed shows 340 uncategorized transactions. Three invoices sit unpaid past 60 days, and nobody followed up. Your CPA just quoted a cleanup fee before they can start your tax return. A QuickBooks virtual assistant fixes this pattern. A remote VA works inside your QuickBooks Online file every day, so your books stay current, and your cash position stays visible.

This guide covers what you can safely delegate and which QuickBooks plan you need. It shows how to set permissions so a VA never sees payroll or moves money, and what the role really costs in year one. You’ll also get a step-by-step hiring process with a skills test you can copy.

What Is a QuickBooks Virtual Assistant?

QuickBooks virtual assistant reconciling bank transactions in QuickBooks Online

A QuickBooks virtual assistant is a remote finance support professional who manages daily bookkeeping inside Intuit’s QuickBooks Online. The role handles transaction categorization, reconciles bank feeds and compiles reports your CPA can use without cleanup.

The position sits between general admin support and a full-charge bookkeeper. An entry-level QuickBooks VA keeps data accurate. A senior QuickBooks bookkeeper handles accrual adjustments and the month-end close. You’ll see the role under several names: virtual bookkeeper, remote bookkeeper, QuickBooks Online assistant and outsourced bookkeeping support. The scope of work matters more than the title.

What Can You Delegate to a QuickBooks VA Without Risking Your Books?

Tasks you can delegate to a QuickBooks VA and tasks to keep with the business owner

You can delegate almost all recording and matching work. You should keep approval of payments, payroll and tax decisions. This split protects your cash while freeing most of your bookkeeping hours.

Safe to delegate

  • Bank feed review: Your VA categorizes transactions in the Banking tab and applies bank rules, which keeps your profit and loss statement current daily.
  • Receipt matching: Your VA attaches receipts captured through the QuickBooks mobile app, Dext or Hubdoc, which gives your CPA documentation for every deduction.
  • Bank and credit card reconciliation: Your VA reconciles accounts weekly, which catches duplicates and missing deposits within days instead of months.
  • Invoicing and payment matching: Your VA creates invoices and applies customer payments to open balances, which keeps your A/R aging report accurate.
  • Collections follow-up: Your VA sends reminders on overdue invoices, which shortens the time customers take to pay.
  • Bill entry: Your VA enters vendor bills and schedules them for your approval, which keeps you from missing due dates.
  • Vendor records: Your VA collects W-9 forms from US vendors at onboarding, which prevents the January 1099 scramble.

Keep with the owner

  • Releasing payments from your bank
  • Running and approving payroll
  • Changing bank connections or user access
  • Tax elections and filing decisions (these belong to your CPA)

Plan limits affect what you can delegate. Some QuickBooks features only exist on higher plans. Check your plan before you write the job description.

Feature Simple Start Essentials Plus Advanced
Bank feeds and reconciliation Yes Yes Yes Yes
Bill management No Yes Yes Yes
Multicurrency No Yes Yes Yes
Classes and locations No No Yes Yes
Projects (job costing) No No Yes Yes
Custom user roles No No No Yes

Example: A home renovation contractor on Simple Start wants profit tracked per job. That requires Projects, which only Plus and Advanced include. The owner upgrades to Plus first, then hires a VA who can set up job costing from day one.

Which QuickBooks Plan Do You Need to Add a Virtual Assistant?

Your QuickBooks Online plan controls how many people can log in and what roles you can assign. According to Intuit’s usage limits, Simple Start includes one billable user, Essentials includes three, Plus includes five, and Advanced includes 25. Every plan also allows two accountant firm users who don’t count against the billable limit.

That gives you two ways to add a VA:

Option 1: Invite your VA as a regular user (Essentials, Plu,s or Advanced). You choose a role, so you control exactly what your VA sees. This option gives you the most security control.

Option 2: Invite your VA as an accountant user (any plan, including Simple Start). Your VA needs a free QuickBooks Online Accountant (QBOA) account, which certified ProAdvisors already have. Go to Settings, then Manage users, then the Accounting firms tab, and send the invite. This route saves a user seat, but accountant users get admin-level access. Use it only for a senior, fully vetted bookkeeper.

Pricing note: Simple Start lists at $38 USD per month in 2026. Third-party trackers report that Intuit raised Essentials, Plus, and Advanced prices on August 1, 2026, and sources still disagree on the new figures. Check Intuit’s pricing page before you budget.

Recommendation: If you’re on Simple Start and want a VA, upgrade to Essentials. The extra monthly cost buys you a proper user seat with restricted permissions, plus bill management and multicurrency.

How Do You Give a QuickBooks VA Access Without Exposing Payroll or Bank Accounts?

Business owner adding a virtual assistant as a user in QuickBooks Online with restricted permissions

Assign a role that covers bookkeeping and blocks payroll and admin settings. Then keep bank credentials and payment approval with you. Here’s how to do it on each plan.

Essentials and Plus: use a preset role

  1. Go to Settings, then Manage users, then Add user.
  2. Enter your VA’s name and email.
  3. Choose a role. Intuit’s help center describes an In house accountant role that covers bank feeds, deposits, transfers and reconciliation, and blocks payroll, user management and admin tasks. For most VAs, this role fits best.
  4. Avoid Standard all access. Intuit lists payroll management among its permissions.
  5. For a VA who only handles bills and vendors, choose a Standard user with access limited to vendors.

Advanced: build a custom role

QuickBooks Online Advanced lets you build custom roles and set each feature to view only, create, edit, delete, approve or all access. A practical VA role looks like this:

  • Banking: create and edit (categorize and match)
  • Sales and invoices: create and edit
  • Bills: create and edit, with no approvel
  • Payroll: no access
  • Reports: view only, with payroll reports excluded

The split between “create” and “approve” gives you dual control. Your VA prepares a bill. You approve it. No single person both creates and releases a payment.

Controls for every plan

  • Never share bank logins. QuickBooks bank feeds give your VA transaction data without bank credentials. You connect the feeds yourself.
  • Use a password manager such as 1Password or Bitwarden for any shared tool logins. You can revoke access in seconds.
  • Turn on two-step verification for every user.
  • Review the audit log weekly. QuickBooks records every add, edit and delete by user.
  • Set a closing date with a password so nobody edits closed months.

Why these controls matter

The Association of Certified Fraud Examiners analyzed 2,402 fraud cases across 143 countries for its 2026 Report to the Nations. The median loss reached $104,000 per case, and organizations with fewer than 100 employees suffered the highest median loss of any size group. Summaries of the report list a simple lack of internal controls as the main weakness in 33% of cases. Role-based access and dual approval close exactly that gap.

Data breaches add a second risk. IBM’s 2026 Cost of a Data Breach Report puts the global average breach cost at a record $4.99 million, with US breaches averaging about $11.5 million. Our guide to security risks and solutions in executive assistant outsourcing shows how these threats apply to remote support roles.

Compliance note: The FTC Safeguards Rule requires tax preparers and many financial service businesses to keep a written information security plan (WISP). IRS Publication 5708 offers a template. List your VA’s access in that plan. On the VA’s side, the Philippines enforces its Data Privacy Act through the National Privacy Commission, and South Africa enforces POPIA. Our guide to vetting, NDAs and data security covers the full setup.

What Skills Should a QuickBooks Virtual Assistant Have?

Match the skill level to the work. Many owners overpay for a senior bookkeeper when they need an accurate entry-level VA. Others hire an entry-level VA and expect controller-level judgment. Define which level you need.

Entry-level QuickBooks VA

An entry-level VA handles recording and matching:

  • Categorizes bank feed transactions and builds bank rules
  • Matches payments to invoices and bills
  • Attaches receipts to transactions
  • Reconciles bank and credit card accounts
  • Runs standard reports: A/R aging, A/P aging, profit and loss

Senior QuickBooks bookkeeper

A senior bookkeeper handles adjustments and the close:

  • Posts journal entries for accruals, prepaid expenses, and deferred revenue
  • Sets up clearing accounts for Stripe, PayPal and Shopify payouts
  • Builds classes, locations, and projects for segment reporting
  • Cleans up a bloated chart of accounts
  • Prepares a month-end package for your CPA

Example: A software company sells a $12,000 USD annual contract in January. An entry-level VA records the invoice and payment correctly. A senior bookkeeper also records deferred revenue and recognizes $1,000 each month, which gives the owner an accurate monthly profit figure. If you sell annual contracts, you need the senior skill set.

Reports that drive decisions

Your VA doesn’t set cash strategy. Your VA produces the reports that make strategy possible. A QuickBooks VA generates the A/R aging report, which shows the owner which customers to call, which lowers Days Sales Outstanding. A QuickBooks VA generates the A/P aging report, which lets the owner time vendor payments, which protects cash on hand. Ask candidates which reports they would send you weekly and what each report tells you.

Soft skills

Look for clear written English, discretion with sensitive numbers, and the habit of escalating problems early. A good VA flags the software subscription that doubled or the vendor who billed twice. Our virtual executive assistant skills checklist covers more traits to screen for.

How Do You Verify a QuickBooks ProAdvisor Certification?

The QuickBooks Certified ProAdvisor credential proves a candidate passed Intuit’s exam. Intuit offers the program free through QuickBooks Online Accountant and requires recertification every year. A certificate from three years ago without recertification has lapsed.

Verify it in three steps:

  1. Search Intuit’s Find a ProAdvisor directory by name. Listings show certification tier and location. Not every ProAdvisor publishes a profile, so a missing listing doesn’t prove someone is uncertified.
  2. Ask for the digital badge link and the date of the most recent recertification.
  3. Ask which track they hold. QuickBooks Online Certification (Level 1) covers core skills. Advanced Certification (Level 2) covers complex setups. Payroll Certification covers QuickBooks Payroll.

Other credentials add weight. The American Institute of Professional Bookkeepers grants the Certified Bookkeeper (CB) designation. Philippine candidates often hold a BS Accountancy degree. South African candidates may belong to the Institute of Certified Bookkeepers (ICB) or SAIPA. A Xero Advisor certification helps if you might switch platforms.

How Do AI and Automation Tools Change a QuickBooks VA’s Job?

Automation shifts your VA’s time from typing to reviewing. That changes how many hours you need and which skills matter most.

  • Intuit Assist and the Accounting Agent: Intuit’s AI in QuickBooks Online suggests transaction categories, helps match transactions, and flags anomalies. Your VA reviews and corrects those suggestions, which keeps AI errors out of your books.
  • Bank rules: Your VA writes rules that auto-categorize recurring charges, which cuts daily review time.
  • Corporate cards like Ramp and Brex: These cards capture receipts and sync coded transactions to QuickBooks. Your VA manages the sync and fixes mismatches.
  • Receipt capture tools like Dext and Hubdoc: These tools pull data from receipts and bills. Your VA approves each one before it posts.
  • Bill.com and QuickBooks Bill Pay: These platforms route bills for approval. Your VA prepares the bills, and you approve them.

Example: A 12-person agency used to need 25 VA hours a week for bookkeeping. After the VA set up bank rules, connected Ramp, and started reviewing Accounting Agent suggestions, the work dropped to about 12 hours. The owner kept the VA full-time and moved the freed hours to collections and vendor management.

When you interview, ask candidates which automation tools they’ve set up. A VA who builds automation saves you more than a VA who only does manual entry.

How Much Does a QuickBooks Virtual Assistant Cost in 2026?

QuickBooks virtual assistant cost breakdown for 2026 including salary, recruitment and software

Salary is only one line in the budget. A realistic estimate includes recruitment, software, onboarding time, your weekly review time and equipment support.

Salary benchmarks

Option Typical 2026 cost
US in-house bookkeeper $50,670 median salary (BLS, May 2025), plus benefits and payroll taxes
US freelance bookkeeper $35 to $60 per hour; ProAdvisors often charge $60 to $90
CPA-firm bookkeeping $80 to $150 per hour
Philippines-based QuickBooks VA, full-time About $900 to $1,400 per month; senior bookkeepers $2,000 or more

The Philippine range comes from 2026 salary guides published by Philippine recruiting firms.

A realistic year-one budget

Here’s a worked example. A founder values their time at $150 per hour and spends six hours a week on bookkeeping. They hire a part-time Philippine QuickBooks VA at 20 hours a week.

Cost item Year-one estimate
VA pay (part-time, about $600/month) $7,200
Recruitment fee (Exec Assistants, one-time) $1,997
QuickBooks upgrade from Simple Start to Essentials About $500
Owner onboarding time (10 hours in month one) $1,500
Owner review time (1.5 hours/week after month one) $10,000
Internet and backup power stipend ($50/month) $600
CPA spot-check of VA work (once a quarter) $1,000
Total year-one cost About $22,800

The founder recovers six hours a week, or about 288 hours over a 48-week year. At $150 per hour, that time is worth $43,200. Subtract the $22,800 cost, and the net gain lands near $20,400 in year one. Year two improves because the recruitment fee and onboarding time drop away.

The math also leaves out two gains: the CPA cleanup fees you stop paying, and the cash you collect faster when someone follows up on every overdue invoice.

How Do You Handle Multicurrency and Pay an Offshore VA?

Two currency questions come up when you hire offshore: how you pay your VA, and how your VA handles foreign transactions in your books.

Paying your VA. A VA in the Philippines or South Africa who works outside the US typically counts as a foreign contractor. Collect IRS Form W-8BEN at hiring. US businesses generally don’t issue Form 1099-NEC to foreign individuals for services performed outside the US. Confirm your setup with your CPA. Record VA payments in USD in QuickBooks, and record wire or transfer fees in a separate bank fees account so your contractor expense stays accurate.

Foreign transactions in your books. If you invoice clients or pay suppliers in other currencies, turn on multicurrency in QuickBooks Online. Essentials, Plus, and Advanced include it. Simple Start does not. Once you turn multicurrency on, you can’t turn it off, so decide carefully. Your VA should know how QuickBooks records exchange rates and how to review unrealized gains and losses at month-end.

Example: An e-commerce brand sells to customers in Canada and the UK through Shopify. Payouts arrive in USD after conversion, but some suppliers bill in GBP. The VA turns on multicurrency, sets up GBP vendors, and reconciles the converted payments each week. The owner now sees true supplier costs, including currency losses.

QuickBooks VA vs. ProAdvisor vs. CPA: Who Does What?

QuickBooks VA vs ProAdvisor vs CPA comparison of bookkeeping and tax roles

A ProAdvisor certification is a credential. A QuickBooks VA can hold it, and so can a freelance bookkeeper or a CPA. The table compares roles by the work they do.

Task QuickBooks VA Freelance ProAdvisor bookkeeper CPA
Daily categorization Yes Yes No
Bank reconciliation Yes Yes Reviews
A/R and A/P processing Yes Yes No
Accrual adjustments Senior VAs only Yes Reviews
QuickBooks setup and cleanup Senior VAs only Yes Sometimes
Tax planning and filing No No Yes
Audits and attest work No No Yes
Typical cost structure Monthly salary Hourly or monthly retainer Hourly or project fee

Many businesses combine roles. A ProAdvisor or CPA sets up the file and reviews quarterly. A QuickBooks VA runs the daily and weekly work. The CPA files taxes from clean books, which shortens their billable hours.

How to Hire a QuickBooks Virtual Assistant: 7 Steps

These seven steps adapt our process for hiring a virtual executive assistant the right way to finance roles.

1. Define your scope. List your QuickBooks plan, bank and card accounts, integrations, payroll platform, sales tax states and any multicurrency needs. Decide whether you need an entry-level VA or a senior bookkeeper.

2. Choose your hiring model. You can hire directly, use a managed agency or work with a direct-hire recruitment service. Compare direct hire and agency-managed models before you decide.

3. Write a specific job description. Name your plan, tools and weekly deliverables. Our guide to writing the right job description shows the format.

4. Screen for proof. Verify the ProAdvisor certification through Intuit’s directory and request two anonymized work samples, such as a reconciliation report and a month-end package.

5. Run a paid skills test. Use this two-part test and pay candidates for their time.

Part A: Live test in the QuickBooks Online Test Drive. Intuit offers a free sample company. Share screens and ask the candidate to:

  • Build a bank rule that categorizes a recurring software charge
  • Run an A/R aging report and name the customer to call first
  • Find a specific transaction using search and filters

Part B: Take-home reconciliation. Send two files: a bank statement CSV with 25 lines and a ledger export with the same period. Plant four errors:

Planted error What a strong candidate does
A vendor payment recorded twice in the ledger Flags the duplicate and recommends deleting one entry
A software subscription coded to Office Supplies Recodes it to Software and suggests a bank rule
A customer deposit on the bank statement missing from the ledger Records the deposit and matches it to the open invoice
A Stripe payout recorded as revenue at the net amount Explains the clearing account method and shows the fees separately

Score each candidate on errors found, quality of explanation and turnaround time. Strong candidates also flag issues you didn’t plant.

6. Interview for judgment. Ask:

  • “Walk me through how you’d find a $250 reconciliation difference.”
  • “A vendor never sent a W-9. What do you do?”
  • “Which reports would you send me every week, and why?”
  • “When would you escalate an issue to me or our CPA?”
  • “Which automation have you set up for past clients?”

For more ideas, use these interview questions that predict performance.

7. Check references and set access. Call two past clients and ask, “What did this person catch that you missed?” Then sign an NDA, collect Form W-8BEN and set up the role from the permissions section above.

How Do You Onboard a QuickBooks VA in the First 30 Days?

30-day onboarding plan for a QuickBooks VA with weekly access levels and responsibilities

Expand access step by step. Each week adds one responsibility and one permission level.

Week Access Responsibility
1 Reports only Review the last 90 days, the chart of accounts and bank rules. Send a list of issues.
2 In house accountant (or custom role) Categorize new transactions. Owner reviews every entry.
3 Same role Reconcile accounts independently and flag discrepancies.
4 Same role, bill entry added Prepare bills for approval, send A/R reminders and deliver the first weekly cash snapshot.

Record short Loom videos of your key processes and keep them in a shared SOP folder. Those videos shorten training and protect you if you ever replace the VA. Our guide on how to onboard an outsourced executive assistant covers more tactics.

Frequently Asked Questions

Can a virtual assistant do bookkeeping in QuickBooks Online?

Yes. A trained VA categorizes transactions, reconciles accounts, manages invoices and bills, and runs reports. You keep payment approval and payroll, and your CPA handles tax filing.

Can I add a VA to QuickBooks Simple Start?

Only as an accountant user, since Simple Start includes one billable user. Your VA needs a QuickBooks Online Accountant account, and accountant users get broad access. For restricted permissions, upgrade to Essentials or higher.

How many hours a week does a QuickBooks VA need?

Most small businesses with 100 to 300 monthly transactions need 10 to 20 hours a week. Payroll, multiple entities, e-commerce or multicurrency usually push that to full-time. Strong automation lowers the number.

Does a QuickBooks VA need to be a CPA?

No. Daily bookkeeping doesn’t require a CPA license. Look for a current ProAdvisor certification, an accounting background and a strong skills test. Keep tax work with a licensed CPA.

Does a QuickBooks VA work with QuickBooks Desktop?

Many do, but most now focus on QuickBooks Online. Intuit stopped selling new QuickBooks Desktop Pro Plus, Premier Plus and Mac Plus subscriptions to new US customers after September 30, 2024. If you still use Desktop, ask candidates about migration experience.
