Our Story

How Did Exec Assistants Start?

Mads Singers, the CEO and founder of Aristo Sourcing, launched Aristo Sourcing in January 2014 to help business owners hire skilled remote staff. Over the next decade, Aristo Sourcing recruited remote talent for more than 1,000 businesses.

One request kept coming back. Founders, executives, and law firm partners wanted one person to run their calendar, inbox, meetings, and follow-ups. They didn’t need a general assistant. They needed someone who could protect their time and keep the business moving while they focused on clients and growth.

Exec Assistants grew out of that demand. We launched Exec Assistants in 2014 as a dedicated division of Aristo Sourcing. Today we focus on one thing: finding, vetting, and shortlisting executive assistants that business leaders hire directly.

Why we chose direct hire

Most assistant agencies place their own staff with you and charge an hourly or monthly markup for as long as you work together. We chose a different model. You pay a one-time recruitment fee of $1,997 USD, you hire your assistant directly, and you pay them a salary with no markup.

Direct hire gives you full control. Your assistant works only for you, learns your business in depth, and stays with you as your company grows. You never pay a middleman every month for someone who works on your team.

Why we recruit from the Philippines and South Africa

We recruit from two countries with strong English skills and deep pools of experienced administrative professionals.

The Philippines

The Philippines has one of the largest remote support workforces in the world, and many assistants there already work US business hours.

South Africa

South Africa shares working hours with the United Kingdom and Europe and overlaps with the US East Coast morning, which suits clients who want live support early in the day.

Our mission

Exec Assistants helps business leaders get their time back. Every assistant we shortlist has passed our vetting for skills, communication, and reliability, so you spend your interviews choosing the best fit instead of screening out the wrong ones.

Our vetting process

How Do We Vet Executive Assistants?

Every executive assistant passes three stages before they reach your shortlist: screening, skills testing, and a final interview with reference checks. Candidates who fail any stage never reach you.

  1. Stage 1

    Experience and English screening

We review each candidate’s work history and confirm real experience supporting executives, founders, or business owners. We then test written and spoken English for clear, professional communication.

    • Executive support experience confirmed
    • Written and spoken English tested
    • Work history reviewed
  2. Stage 2

    Practical skills testing

Candidates complete real tasks in the tools your business uses, such as Google Workspace, Microsoft 365, and your CRM or Clio. They also work through a confidentiality scenario to show how they handle sensitive information.

    • Inbox and calendar tasks completed
    • Software skills tested
    • Confidentiality scenario passed
  3. Stage 3

    Interview and reference checks

Our recruiters interview each finalist about working style, reliability, and availability in your time zone. We check references, then match the strongest candidates to your role and send you the shortlist.

    • Structured interview completed
    • References checked
    • Matched to your role and time zone

From your first call to a shortlist of candidates who passed all three stages. You interview them and hire the best fit directly.
